Practice Policies
Effective Date: January 1st, 2025
The Therapeutic Workshoppe (“we,” “us,” or “our”) is a speech-language therapy practice owned by Dr. Keisha Lindsay Nurse, Ph.D., CCC-SLP. These policies are designed to ensure a smooth, transparent experience for all clients and families. By scheduling any service with our practice, you agree to the terms outlined below.
Scheduling & Appointments
All therapy sessions are scheduled through our secure client portal. You may request, reschedule, or cancel appointments directly from the portal at any time.
Session length: Standard sessions are 30 or 45 minutes depending on your individualized treatment plan. Evaluation appointments are longer.
Timeliness: Please arrive on time for your scheduled session. Late arrivals will not result in an extended session; the appointment will end at the originally scheduled time and the entire cost of the session will be due.
Telehealth: Virtual sessions are available for eligible clients and appointment types. A stable internet connection and a quiet, private environment are required for all telehealth appointments.
Cancellation & No-Show Policy
Consistency is essential to therapy progress, and missed sessions directly affect therapeutic outcomes.
Cancellation window: Please provide at least 24 hours notice if you need to cancel or reschedule an appointment. You can cancel your appointment directly on the client portal. Please also text us at (404) 860 1089.
Late cancellations: Cancellations made with less than 24 hours’ notice will be subject to a late cancellation fee equal to the full session rate.
No-shows: Failure to attend a scheduled session without prior notice will result in a charge at the full session rate. Insurance does not cover missed appointment fees.
Repeated no-shows: Three or more no-shows within a 60-day period may result in discharge from services to allow availability for clients on our waitlist.
Fees & Payment
Payment is due at the time of service unless other arrangements have been made. We accept the following payment methods through our portal: credit/debit cards, HSA/FSA cards. We provide receipts for all payments.
A valid credit card must be kept on file at all times for all active clients.
Superbills: We provide superbills (detailed receipts) that you can submit to your insurance company for potential reimbursement.
Good Faith Estimate: Under the No Surprises Act, you have the right to receive a Good Faith Estimate explaining how much your care will cost. You may request one at any time before or during treatment.
Insurance
The Therapeutic Workshoppe is a private pay practice and considered an out-of-network provider for insurance companies. Clients pay for services at the time of your visit. We provide a receipt upon payment and a monthly superbill with all required billing codes. You submit the superbill to your insurance company for possible reimbursement.
We recommend contacting your insurance provider to verify your out-of-network speech therapy benefits before your first appointment.
Confidentiality & HIPAA
Your privacy is our priority. All client records and communications are maintained in compliance with the Health Insurance Portability and Accountability Act (HIPAA).
Our client portal is a HIPAA-compliant platform, for scheduling, documentation, telehealth sessions, and secure messaging.
Information about your child’s treatment will not be released to any third party without your written consent, except as required by law (e.g., mandated reporting of suspected abuse or neglect).
Consent & Intake Process
Before beginning therapy, all clients are required to complete intake paperwork through our client portal. This includes client demographics and contact information, medical and developmental history, informed consent for evaluation and treatment, consent for telehealth (if applicable), and financial agreement with credit card on file authorization.
All forms are digital, secure, and can be completed from the comfort of your home before your first visit. Appointments are not confirmed until all required forms are filled out.
Communication Policy
The best way to reach us is through our client portal via the secure messaging feature or by using the contact form on our website.
Response time: We aim to respond to all messages within 1–2 business days. For urgent scheduling needs, please call or text our office directly.
Please note, standard email and text communication are not considered secure methods for sharing protected health information. For sensitive matters, please use the client portal or speak with us by phone.
Discharge & Discontinuation of Services
Clients may be discharged from services when therapy goals have been met, the client or caregiver requests discontinuation, repeated no-shows or non-compliance with the treatment plan occurs, fees remain unpaid, or the clinician determines the client would benefit more from a different provider or level of care.
In all cases, we will provide appropriate referrals and a summary of progress to support continuity of care.
Updates to These Policies
We may update these policies from time to time to reflect changes in our practices or applicable regulations. When we make changes, we will update the “Effective Date” at the top of this page. We encourage you to review this page periodically.
